Shipping & Freight Policy

Three Sixteen Technologies ships products throughout the contiguous United States and provides quoted shipping options for Alaska, Hawaii, and Puerto Rico.

Smaller qualifying orders are generally shipped through UPS Ground. Large, heavy, oversized, or palletized orders are generally shipped through Old Dominion Freight Line.

The shipping method is determined by the product dimensions, shipment weight, destination, receiving requirements, and services requested by the customer.

Shipping and freight charges are included as a separate line item on the customer’s formal quote.

Order Processing

In-stock standard orders will normally ship on the next business day after Three Sixteen Technologies receives and approves a complete purchase order.

Next-business-day shipment is subject to:

  • Product availability

  • Complete and accurate purchase-order information

  • Approved payment or credit terms

  • Complete shipping and receiving information

  • Carrier availability

  • Any special configuration or preparation requirements

Pre-wired products, large-quantity orders, custom configurations, and items requiring additional preparation may have longer lead times. Any applicable lead time will be identified on the formal quote or order confirmation.

Orders received on weekends, holidays, or outside normal business hours will be reviewed on the next business day.

Shipping Destinations

Three Sixteen Technologies currently ships to:

  • The contiguous United States

  • Alaska

  • Hawaii

  • Puerto Rico

All orders shipping to Alaska, Hawaii, or Puerto Rico require a custom shipping quote. Additional charges may apply based on distance, shipment size, available carrier service, fuel surcharges, transfer requirements, and destination accessibility.

Shipping methods and delivery times for these locations may differ from standard UPS Ground or continental freight service.

UPS Ground Shipments

Products that meet applicable parcel-shipping requirements are generally shipped through UPS Ground.

UPS Ground shipments may include products such as:

  • Phone pouches

  • Headsets and earbuds

  • USB-C power adapters

  • Monitor arms

  • Replacement components

  • Smaller accessories

  • Other qualifying boxed products

Tracking information will be provided when available after the shipment has been processed by the carrier.

Freight Shipments

Large, heavy, oversized, or palletized products are generally shipped through Old Dominion Freight Line.

Products that may require freight shipping include:

  • Charging cabinets

  • Intelligent charging carts

  • ChargeTower Power Stations

  • Mobile display stands

  • Large pre-wired charging configurations

  • Multiple-unit or palletized orders

  • Other heavy or oversized equipment

Unless additional services are included in writing, standard freight delivery is intended for a commercial receiving location with appropriate unloading capabilities.

Freight shipments do not automatically include unpacking, assembly, installation, equipment placement, packaging removal, or delivery to a specific room.

Freight Receiving Requirements

Before a freight quote is finalized, the customer must provide complete delivery information, including:

  • Business or organization name

  • Complete delivery address

  • On-site contact name

  • Contact telephone number

  • Receiving hours

  • Loading-dock availability

  • Forklift or pallet-jack availability

  • Delivery appointment requirements

  • Liftgate requirements

  • Inside-delivery requirements

  • Limited-access status

  • White-glove service requirements

  • Any security, gate, or access restrictions

Providing complete receiving information helps us quote the correct service and reduce unexpected carrier charges.

Special Freight Services

Special delivery services must be requested before the order is approved and must appear on the formal quote.

Available services may include:

Liftgate Delivery

Recommended when the receiving location does not have a loading dock or forklift capable of safely unloading the shipment.

A liftgate lowers the pallet from the trailer to ground level. It does not include unpacking, assembly, installation, or movement to a final room unless separately stated.

Inside Delivery

Moves the freight beyond the standard exterior delivery point, subject to carrier access and service limitations.

Inside delivery does not automatically include stair carries, room placement, unpacking, installation, or debris removal.

Delivery Appointment or Prior Notification

Provides advance communication or scheduled coordination before delivery.

The receiving contact must be available and prepared to accept the shipment during the agreed delivery window.

White-Glove Delivery

White-glove service may include enhanced handling, room placement, unpacking, assembly, or packaging removal when available and specifically included in the customer’s quote.

The exact service level must be documented in writing before shipment.

Limited-Access Delivery

Carriers may classify certain destinations as limited-access locations. Old Dominion identifies locations such as schools, residences, construction sites, and military facilities as examples that may incur limited-access charges.

A school or other organization may be assessed a limited-access charge even when it has a designated receiving area.

Undisclosed or Additional Service Charges

Customers are responsible for identifying all required delivery services before approving the quote.

When a customer does not disclose a required service and the carrier later bills Three Sixteen Technologies, the additional charge will be invoiced to the customer.

Examples include:

  • Liftgate service

  • Inside delivery

  • Limited-access delivery

  • Residential delivery

  • Delivery appointments

  • Prior notification

  • Redelivery

  • Storage

  • Detention or extended waiting time

  • Address corrections

  • Reconsignment or diversion

  • After-hours delivery

  • Weekend or holiday service

  • White-glove handling

  • Additional labor or special equipment

Old Dominion treats services beyond standard freight transportation as accessorial services and publishes separate charges for services such as liftgates, inside delivery, appointments, limited-access delivery, redelivery, and reconsignment.

The customer remains responsible for carrier-imposed charges resulting from inaccurate, incomplete, or changed delivery information.

Address Changes and Reconsignment

Customers must verify the complete delivery address before approving the order.

Once an order has shipped, an address change may require carrier approval and may result in:

  • Address-correction fees

  • Reconsignment charges

  • Additional transportation charges

  • Storage fees

  • Delivery delays

  • Redelivery charges

Three Sixteen Technologies cannot guarantee that a carrier will approve an address change after shipment.

All additional charges caused by a customer-requested address change will be the customer’s responsibility.

Delivery Times

Processing and transit times are estimates unless a specific guaranteed service is included in writing.

Delivery may be affected by:

  • Weather

  • Natural disasters

  • Carrier delays

  • Holidays

  • Peak shipping periods

  • Road closures

  • Labor disruptions

  • Incorrect addresses

  • Missed appointments

  • Receiving-location restrictions

  • Remote destinations

  • Events beyond the reasonable control of Three Sixteen Technologies

Three Sixteen Technologies is not responsible for carrier delays after the order has been transferred to the shipping provider. We will assist customers with tracking information and reasonable carrier communication when needed.

Freight Delivery Inspection

The receiving customer is responsible for inspecting every freight shipment before signing the carrier’s delivery receipt.

Before accepting delivery:

  1. Confirm the number of pallets, cartons, and pieces.

  2. Inspect the pallet, cartons, wrapping, straps, corners, and product surfaces.

  3. Look for punctures, crushing, tears, leaning pallets, broken bands, missing pieces, or visible impact damage.

  4. Photograph the shipment before removing the packaging.

  5. Clearly document all visible damage or shortages on the carrier’s delivery receipt.

  6. Ask the driver to acknowledge the written exceptions.

  7. Keep a copy of the signed delivery receipt.

Do not write only “subject to inspection.” Describe the visible condition as specifically as possible, such as:

“One pallet received with crushed right corner, torn wrapping, and visible cabinet damage.”

Signing a freight delivery receipt without documenting visible damage or shortages may affect the ability to recover through the carrier’s claim process.

Visible Freight Damage or Shortages

Visible damage or missing items must be documented on the delivery receipt before the driver leaves.

The customer should then contact Three Sixteen Technologies immediately and provide:

  • Purchase-order number

  • Invoice or quote number

  • Freight PRO or tracking number

  • Signed delivery receipt

  • Photographs of the complete shipment

  • Photographs of the damaged packaging

  • Close-up photographs of the damaged product

  • Description of missing or damaged items

  • Product model and serial number, when applicable

When damage is severe, contact Three Sixteen Technologies before refusing the shipment whenever reasonably possible.

A shipment should not be refused solely because of minor carton or wrapping damage when the product condition has not been evaluated.

Concealed Freight Damage

Concealed damage is damage that is not visible until the shipment has been unpacked.

Customers must report concealed freight damage to Three Sixteen Technologies within two business days after delivery.

Old Dominion requires concealed damage to be reported to the carrier within five business days and requires the packaging to be retained until the claim is concluded. Our shorter customer-reporting period allows time to collect documentation and notify the carrier.

Do not discard:

  • Pallets

  • Cartons

  • Foam

  • Shrink wrap

  • Bands

  • Corner protection

  • Internal cushioning

  • Shipping labels

  • Damaged products or components

Failure to report concealed damage promptly or preserve the packaging may result in the carrier delaying or denying the claim.

UPS Loss or Damage

Customers should report a lost, missing, or damaged UPS shipment to Three Sixteen Technologies within five business days of delivery or the expected delivery date.

UPS generally requires claims for lost or damaged packages to be started within 60 days of the scheduled delivery date. UPS also instructs customers to keep the damaged contents and original packaging.

UPS may require:

  • Photographs of the damaged product

  • Photographs showing how the product was packaged

  • A photograph of the shipping label and tracking number

  • A photograph of the outside of the package

  • Package dimensions

  • Invoice or proof of value

  • Product description, model, and serial number

  • Physical inspection of the package and contents.

Customers must preserve the complete package and contents until Three Sixteen Technologies confirms that they may be discarded.

Carrier Claims

Three Sixteen Technologies will assist with initiating and managing eligible carrier claims when we are the shipper of record.

Claim approval is determined by the carrier based on:

  • Carrier rules and tariffs

  • Delivery documentation

  • Report timing

  • Packaging condition

  • Photographs

  • Proof of value

  • Product inspection

  • Applicable liability limits

  • Other supporting evidence

Submitting a damage or loss report does not guarantee that the carrier will approve or pay the claim.

Replacement products, repairs, credits, or refunds will be handled after the available documentation has been reviewed and may be subject to the carrier’s investigation and claim determination.

Old Dominion’s cargo liability may be limited under its tariff. Additional cargo liability may be available when requested and purchased before shipment.

Customers requesting additional cargo protection should notify Three Sixteen Technologies before approving the freight quote.

Redelivery, Storage, and Missed Appointments

The customer is responsible for ensuring that an authorized receiver is available during the scheduled delivery period.

When delivery cannot be completed because the customer is unavailable, unprepared, closed, or unable to unload the shipment, the carrier may assess:

  • Redelivery charges

  • Storage charges

  • Detention charges

  • Appointment-rescheduling fees

  • Additional handling charges

These charges will be billed to the customer when caused by the receiving location or by incomplete delivery instructions.

Refused Shipments

Customers should not refuse a shipment without a valid reason and adequate documentation.

Unauthorized or unjustified refusal may result in:

  • Return-freight charges

  • Redelivery charges

  • Storage fees

  • Handling charges

  • Restocking fees

  • Additional carrier charges

If a shipment appears significantly damaged, document the condition, take photographs, note the damage on the delivery receipt, and contact Three Sixteen Technologies immediately.

Order Cancellations After Shipment

An order cannot be canceled once it has been tendered to the carrier without potential additional charges.

A customer requesting cancellation, interception, return, or reconsignment after shipment may be responsible for:

  • Original shipping charges

  • Carrier-intercept fees

  • Return freight

  • Storage

  • Reconsignment

  • Handling

  • Applicable restocking fees

Approval of a cancellation or return is subject to the applicable order and return policies.

The customer is responsible for:

  • Providing complete purchase-order information

  • Disclosing whether the destination is limited access

  • Providing accurate receiving hours and contact information

  • Ensuring that unloading equipment is available
